Position Summary
The Executive Assistant/Operations Manager plays a vital role in laying the foundation for operational excellence at Housing Kent. As the Executive Assistant, you are the gatekeeper of the President’s schedule and responsible for setting up administrative procedures that optimize the President’s time. In the role of Operations Manager, you manage day-to-day operations, oversee project management, and take the lead in putting in place the infrastructure that ensures our team has what we need for effective collaboration and results delivery. Essential Duties + Responsibilities
Executive Assistant to the President

  • Provide executive support to the President, acting independently and performing work of a confidential nature.
  • Excel in a broad variety of administrative tasks, including managing the President’s calendar; composing written correspondence; preparing presentations, agendas, and reports; and coordinating logistics.
  • Manage and track progress on assignments in a proactive manner and until successful completion.
  • Research, prioritize, and follow up on requests and incoming issues addressed to the President.
  • Edit and proof a variety of written and visual deliverables for internal and external audiences.
  • Provide administrative support for the Board of Trustees and Housing Stability Alliance on behalf of the President.

Operations Manager

  • Lead and implement administrative systems and operational supports for organizational effectiveness (e.g., project management, grants management, and customer relations management).
  • Assist the team with project support and meeting and event planning, as assigned.
  • Assist accounting with accounts payable, expense tracking, and budget reconciliation.
  • Manage vendor contracts, invoicing, and reporting.
  • Provide office management related to supplies, record keeping, facility maintenance, office décor, and organization.

Additional Qualifications

  • A firm commitment to Housing Kent’s vision
  • Bachelor’s degree or equivalent experience
  • Minimum 5 years of administrative assistance to an executive, ideally a President/CEO, or relevant work experience
  • Ability to work effectively with people from diverse cultural, social, and ethnic backgrounds
  • A strong understanding of diversity, equity, and inclusion and the ability to embed
  • DEI principles in every aspect of your work
  • Excellent project management and “follow through to completion” skill
  • Excellent interpersonal, written, and oral communication skills
  • Impeccable attention to detail and keen proofreading ability
  • Foresight to anticipate and solve problems without escalation
  • Strong customer service orientation
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Experience with online platforms for collaboration, project management, and other relevant systems preferred

Frequent work in a stressful environment. Frequent telephone and computer use. Use of manual dexterity required for writing and computer use.
